Theatre Style Set Up

Sitting just like the movies...This type of set up is great for large audiences. Theatre style set up, with chairs facing a head table in the front of the room. It is suitable for lectures, speeches, presentations, and watching performances. This set up allows for most efficient space use.

Classroom Style Set Up

A great style for training sessions. Usually 3 to 4 chairs on one side of the table facing a head table in the front of the room. It is suitable for workshops, orientations, and presentations where the audience will be taking notes. Relatively space consuming but is very effective.

Round Style Set Up

Elegant to formal this set up is used for all kinds of functions...Rounds - most commonly used set up for dinners, receptions, celebration, and socials. Round tables allow for up to 8 people to be seated per table.

U-Shape Set Up

U-style set up is good to use when the speakers would like to have easy access to the audience. Tables are moved together to form a u-shape facing a head table with chairs around the outside. It is used for meetings and conferences with the presenter separated from the audience. More space consuming then square and conference set-ups. We can help optimize the space.

Special Theme Set Ups

Have us create your special event...winter wonderland to seasonal displays...All set ups with a special theme will be priced as per an agreed contract.

General Information & Policies


Event Guarantees:

Ambrosia requires an approximate number of guests attending your event 14 days prior to your function with a final guaranteed numbe 4 business days prior. If a guaranteed number has not been received, the billing will be prepared for the number of persons for which the function was originally booked, or the number in attendance, whichever is greater.

Payment:

A NON-REFUNDABLE DEPOSIT IS REQUIRED TO GUARANTEE THE BOOKING. FULL PAYMENT IS DUE UPON COMPLETION OF THE EVENT. Balances and refunds due will be settled immediately after the function. Payments can be made by cheque, cash, Visa, MasterCard or Debit.

Cancellation:

All cancellations must be made in writing. Functions cancelled within 14 days are subject to a cancellation fee of 50% of the contracted food and beverage revenue. Functions cancelled within 48 hours of the event will be charged 100% of the contracted amount.

Room Rental:

Room rates are calculated for the full time the space is required for any event or meeting. If you would like to set up/ decorate early or leave equipment/ setup over night, please notify at time of booking. This will be charged at regular room rates as the space during this time will be unavailable to other clients.

Menu & Wine Selection:

Menu and wine selection must be arranged no less than three weeks prior to your function date. Changes to the selections may be possible closer to the event, although this depends upon the availability and seasonality of goods. We will do our best to accommodate your wishes and will do our utmost to find the best substitutes where necessary.

Bar:

Hosted bar is subject to 15% gratuity plus applicable government taxes.

Taxes & Gratuities:

All contracted food items are subject to a 15% gratuity charge plus applicable government taxes.

Allergies:

In the event that any guests have food allergies, we shall be informed with the names of those persons and the nature of their allergies in order that we can take the necessary precautions when preparing their food.

Music & Dancing:

The Society of Composers, Authors and Music Publishers of Canada (SOCAN) requires us to charge a fee for bookings where dancing or background music is used during functions. With music and dancing, a fee of $59.17 plus tax will be charged and with music (no dancing), a fee of $29.56 plus tax will be charged.

Minimums:

Ambrosia reserves the right to require a sufficient number of persons to guarantee a function booking. They also reserve the right to impose a minimum on certain food & banquet orders.

Loss of Property & Theft:

Ambrosia will not be responsible for damages or loss of any personal property and equipment left unattended prior to, during or following any function.

Property Damage:

Liability for damages to our premises by your guests or independent contractors will be your responsibility and you will be charged for the necessary repairs.
